Better than asking a chatbot

A chatbot can draw a plausible diagram. Vedomia works differently: your process becomes structured facts, each with a source or a confirmation status. Fixed rules then show the same facts three ways — for the person, the team, and reviewers. Open points remain visible until your organisation resolves them. AI use is always marked

Any map whose data an AI helped draft carries a label saying so — on screen and in print. Every fact keeps a record of where it came from. Nothing becomes a confirmed fact about your organisation until you confirm it. We disclose AI use because people should be able to understand how information about a system was produced. It is our own practice, not a certification or legal assessment.

Usable when reading is hard

We design towards WCAG 2.1 AA and cognitive-accessibility guidance: short sentences, one idea per step, a predictable order, keyboard support, and no meaning carried by colour alone. The ‘For the people’ view exists for the same reason. Accessibility remains part of every release review; this statement is not a certification of conformance.

Not sure what to write? Quick guide

First time? How to number a document Use the format PROC-[SHORT NAME]-001. Choose a short name for the programme or service (e.g. LEADER, ESF, SICAP). Every new process you document gets the next number: -001, -002, -003. This number never changes — even after updates.

Version numbering Start at 1.0 for a brand-new document. After minor edits (correcting a name, updating a contact) go to 1.1, 1.2… After a major revision of the process itself, go to 2.0. Keep a short log of what changed each time.

Who approves it? Typically the CEO, Programme Manager or Board Chair — whoever is accountable for this process. Auditors want to see that a real person with authority signed off that this is how you actually work.

Date approved Enter the date on which an authorised person actually approved this version. After a revision, record the new approval date only when the revised version has been approved.

Next review date Choose the review interval required by your organisation or funder. If none is defined, 12 months can be a practical starting point. Put the agreed date in your calendar.
